Understanding IT Partner, Software Consultant, and Technical Project Manager

Looking for an IT partner but confused by the jargon? Here’s a simple guide. An IT partner supports all your tech needs. A software consultant gives advice on specific software solutions. A technical project manager oversees tech projects, ensuring they run smoothly. Though there's overlap, each role has unique strengths.

WHAT IS THE PROBLEM?

Finding Your Ideal IT Partner: A Non-Technical Guide

Looking for an IT partner, but not sure where to start? Let’s break down the lingo in plain English, and clarify the overlap. An IT partner is a vendor who looks after all your tech needs. This could be hardware to cybersecurity. They help you with everything from setting up your computers or laptops, to making sure your data is safe. Think of them as your go-to for your day-to-day. IT partners can also be referred to as MSPs, or Managed Service Providers. A software consultant, on the other hand, is more specialist. They focus on specific software solutions and help you choose and implement the best ones for your business. They’re the experts you call when you need advice on particular software needs, or when you’re likely to need to solve a process problem through tools. A technical project manager is like the organiser of a big tech project. They make sure everything runs smoothly, from planning to execution. They coordinate between different teams and ensure the project is completed on time and within budget. They’re more specialist than a generalist project manager, especially due to the translation involved between tech and non-tech stakeholders. It’s an artform! Next, what sort of problems might you face when looking for an IT partner? 1. Lack of Understanding: You might not know exactly what you need. Tech jargon can be confusing, and it’s hard to explain your requirements when you don’t speak the same language. Classic “you don’t know what you don’t know”. We recommend: Start by listing your main pain points. What tech issues are you facing? This will help you communicate your needs more clearly. 2. Finding the Right Fit: Not all IT partners are the same. Some might be too big or too small for your business, or they might not specialise in your industry. We recommend: Look for IT partners with experience in your sector and similar sized businesses. Check their references and case studies to see if they’ve solved problems like yours. Better still, ask peers for recommendations and introductions (or who to avoid!). 3. Budget Concerns: Cost is always a factor. You want good service, but you don’t want to break the bank. We recommend: Shop around. Get multiple quotes and compare them. Don’t just go for the cheapest option, consider the value they offer. Sometimes, paying a bit more for better service can save you money in the long run. Sometimes, the cheapest may just be the best fit for you. 4. Communication Issues: Tech experts can sometimes be hard to understand. If they’re using too much jargon, it can be frustrating. We recommend: Choose an IT partner who can explain things in your terms. During your initial meetings, pay attention to how well they communicate. 5. Security Concerns: With all the talk about data breaches and cyber threats, security is a major worry. We recommend: Ask potential IT partners about their security measures. Make sure they have a solid plan to protect your data. Bonus points for staying with us so far. One last thing to be aware of. A lot of IT partners or Managed Service Providers can be software resellers. While this is a great and very valid business model, it doesn’t necessarily mean they’re best placed to give you impartial advice on the right fit for you, if you’re looking for new tools or software. If you need someone to help you implement HubSpot in particular – for example – then finding a HubSpot expert is your best bet. If however, you need someone to help you find the best CRM (customer relationship management) or marketing type tool for your business and your needs, a HubSpot expert will likely try to sell you what they know best – and that might not be what you need. Just something to consider!

"If you don't know what you need, it's very hard to know where to start and what to look for, especially when you throw jargon into the mix. I do suggest you talk to your peers as often they can help point you in the right direction. When you do speak to potential partners, look for green flags such as: do they seem a good fit for you? Do they listen to what you say and need? Do they understand your pain points or gaps? The best partners are often the ones who don't try and impress you with acronyms and specialist gibberish (however flash it might sound)!"
